- Payroll Clerk
Description
The Payroll Clerk is responsible for accurately and efficiently processing payroll in accordance with District policies and applicable legislation. The role ensures employees are paid correctly and on time, maintains accurate payroll records, and provides reliable payroll-related support.
This position reports to the Manager of Accounting and Budget.
Essential Functions
- Compiles payroll information related to work assignments for the purpose of providing required documentation and/or processing information.
- Processes payroll-related data (e.g., timesheets, withholding information, etc.) for the purpose of updating information, authorizing timely payment, and/or complying with established payroll practices.
- Prepares reports (e.g., quarterly state and federal payroll taxes, state labor reports, benefits, gross-to-net calculations, etc.) for the purpose of providing written support and/or conveying information.
- Performs a variety of accounting functions for accurate entry of pay data for assigned employee groups; calculates and enters deductions; processes overtime, supplemental, and special pay; and makes other payroll calculations.
- Responds to and resolves employee payroll-related questions and requests; provides assistance to employees and supervisors in understanding employee pay.
- Maintains a variety of payroll information, files, and records for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
- Assists auditors for the purpose of providing supporting documentation and/or information on internal processes required for audits.
- Participates in unit meetings, in-service training, workshops, etc., for the purpose of conveying and/or gathering information required to perform job functions.
- Processes a variety of benefit information for the purpose of completing enrollments/changes within program guidelines.
- Researches discrepancies in payroll information and/or documentation (e.g., timesheets, leave time, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.
- Researches and resolves discrepancies with payroll, benefit providers, and government agencies for the purpose of ensuring accuracy of records and employee payments (e.g., withholding vs. W-4, salary status, etc.).
- Responds to inquiries regarding payroll procedures (e.g., wage levies and garnishments, savings contributions, direct deposits, etc.) for the purpose of providing necessary information, assisting employees, taking appropriate action, and/or complying with established fiscal guidelines.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Skills are required to perform technical tasks with a potential need to upgrade skills to meet changing job conditions. Specific skill-based competencies required include: operating standard office equipment, utilizing pertinent software applications, planning and managing projects, and developing effective working relationships.
KNOWLEDGE
Knowledge is required to perform basic math, including calculations using fractions, percentages, and/or ratios; read a variety of manuals; write documents following prescribed formats; and present information to others. Specific knowledge-based competencies include: personnel processes; pertinent codes, policies, regulations, and/or laws relating to payroll; Qmlativ; office application software; and recordkeeping and record retention practices.
ABILITY
Ability to prioritize tasks in a deadline-driven environment is required, including scheduling activities and/or meetings, gathering and/or collecting data, and using job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; analyze data using defined but varied processes; and operate equipment using established methods. Ability is also required to work with a diverse range of individuals and/or groups, work with data of varied types and purposes, and utilize job-related equipment. Problem-solving is required to analyze issues and develop action plans. Problem-solving with data frequently requires independent interpretation of guidelines, while problem-solving with equipment is limited. Specific ability-based competencies include: communicating with diverse groups, meeting deadlines and schedules, working as part of a team, and maintaining confidentiality.
RESPONSIBILITY
Responsibilities include working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating the payroll work process; and utilizing resources from other departments as needed to perform job functions. Actively participates in process improvement efforts.
WORK ENVIRONMENT
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity. Generally, the job requires 90% sitting, 5% walking, and 5% standing.

Experience: School district and/or payroll experience preferred
Education: High school diploma or equivalent
